We are Changing Everything!!!

Our mission is to serve the church, not ourselves as a camp. We regularly ask the question, "How can we serve you better?" to the churches that attend our camps. One of the main hurdles for leaders is the half cabin/whole cabin commitment. As a former youth leader, I know all too well that youth/children don't come in nice clean sets of 5 and 10. In fact, it is pretty common to have 12 girls and 8 guys that want to come to camp, or some other non "cookie cutter" number of kids. This year we changed software with the hope of (among other things) allowing churches to register any number of campers. Some of you are even fist-bumping your fellow church leaders as you read this. I want to ask for grace on your end this year, as we have not used this software before or tried to register churches like this. We feel like we are "shooting the moon" a bit, but we think you are worth it. (There is some fine print to this that covers special situations.)

How to Register (The Fine Print)

  • Our cabins come in bed numbers of 8, 10, and 11. We understand that your ideal and ours is to get you a whole cabin.
  • We need 1 adult for every 10 kids at Evergreen and 1 adult for every 9 kids at Circle T. Example: if you bring 13 girls to Middle School 3, you need to bring 2 adult leaders (one of which will be free and the other will be $50 less than the camper rate).
  • Free Adults! For every 10 campers at Evergreen you get 1 free adult spot. For every 9 campers at Circle T you get 1 free adult spot.
  • Deposits—You need to get your non-refundable deposit in for every spot you are sure you can fill. Many of our camps fill, so you NEED to get those deposits on the line. If you need to cancel any spots, you will lose the $50 deposit, but if you do it at least 30 days before your session you will only be out the deposit. If you cancel a spot less than 30 days before the session, you will be out the entire amount of that camper spot.
    • Deposit Math – Cancel < 30 days out = owe total session amount. Cancel > 30 days out = owe $50.
  • Want to add a student? If we have space and you have the leader, we will take them until our website says the session is full.
  • Examples of how we fill a cabin:
    • You bring 10 kids and 1 adult – the cabin is yours, enjoy.
    • You bring 2 kids and 1 adult – we will pair you with a group that has 5 kids and 1 adult.
    • You bring 4 kids and 1 adult – we may pair you with one of our counselors and campers that came on their own.
  • Circle T—Some groups like to reserve all 60 beds in Circle T. We love doing this and every children's ministry should consider it. For this registration we need full commitment to all 60 spots at the time of the reservation.
  • Open Enrollment – You will only be charged for the exact number of campers you bring. For example, if you signed up for one cabin of girls, but only brought 7 campers/1 counselor, you will not be charged for the full cabin. Counselor rate will be charged if there are less than ten campers attending. Deposits on open enrollment weeks are non-refundable, but can be applied towards the balance of the registration of the campers that do attend.
    • Middle School 1, Middle School 2, Junior 1, and Circle T 2 sessions are eligible for open enrollment. Open enrollment sessions allow you to make a reservation without financially committing to a firm number of students. Register the amount of kids you think you will bring. For these sessions only, you will only be charged for the number of kids you bring.

Cancellation/Refund Policy

There is a non-refundable $50 deposit per camper due upon registration in order to reserve a spot.

If a camper must cancel their reservation, the deposit is non-refundable. Exceptions to this include a death in the family, sickness, or a serious injury such as a broken bone. If a camper cannot attend camp due to sickness or injury, we will refund the full amount paid when provided with a scanned copy of a doctor's note. A 48-hour notice from the start of the camp session is required to receive a refund. If a camper goes home during the week due to sickness or other circumstances, we do not have a partial refund policy as we cannot resell the bed and have already purchased food for that week.

If a church group must cancel any or all of their reservation, notification must be given to Camp Tadmor no later than 30 days before the reserved camp session begins in order to receive a refund of the balance. If cancellation is made after the 30 days, the church is responsible for the entire camp fee for all participants. Camp Tadmor is unable to issue refunds for cancellations or changes made after the 30-day mark.
